The Challenge

Managing large fleets is complex. Fleet managers are often buried under spreadsheets, chasing MOT dates, vehicle tax renewals, and compliance checks. A missed deadline isn’t just inconvenient — it creates real operational risks for businesses.

Existing tools on the market didn’t solve these problems. They relied heavily on manual data entry, offered limited search functionality, and lacked clear data visualisation to give managers a true picture of their fleet.

Vehelix set out to change that.

Our Approach

We began with discovery workshops to dig into the day-to-day frustrations of fleet managers. Their feedback was clear:

  • They needed less time spent on admin.

  • They wanted better visibility of fleet health.

  • They needed smarter search tools to find information fast.

  • Above all, the system had to be reliable, accessible, and easy to use.

Our research guided both the product strategy and the design direction. From here, we designed Vehelix as a cloud-hosted platform that blends user-entered data with live feeds from the DVLA and DVSA.

Our solution

We designed custom dashboards that highlight compliance, costs, and utilisation in a way that is simple, accessible, and actionable. The colour palette — orange, black, and grey — was tested for legibility and accessibility, ensuring clarity across devices. No more chasing deadlines. Vehelix pulls MOT and tax data directly from official sources and sends managers automatic reminders. This reduces human error and minimises operational risk.

Managers can preview vehicles in their fleet, organised by manufacturer and compliance status. This provides an at-a-glance view of performance and upcoming tasks.

Finding a single vehicle in a fleet of hundreds is no longer a challenge. The platform’s intelligent search and filtering tools make data easy to locate in seconds.

Branding

We created a bold brand identity to match Vehelix’s ambition. The orange, black, and grey palette conveys energy, authority, and professionalism.

From a UI and UX perspective, we focused on:

  • User-centred design – every feature mapped back to real-world fleet manager needs.

  • Accessibility testing – ensuring the platform met WCAG standards.

  • Intuitive navigation – reducing the learning curve and helping managers adopt the system quickly.

  • Car Preview Feature – one of the most celebrated functions, letting managers see a vehicle’s details and compliance data instantly.
